Mastering Email Management: Tips for Staying on Top of Your Inbox

Does this scene look familiar to you?

An email inbox that is full of messages and needs email management
A crowded inbox is stressful for small business owners

If your email inbox is constantly inundated with messages that you just don't have time to keep up with, this post is for you! Here are some ways to help your business emails in check.

Outsource your emails:

This is a huge passion of mine, and is what I'd recommend for any small (or growing!) business who is letting their emails, Facebook messages, or Instagram DM's get away from them. Your customers are emailing you for a reason - and the longer their queries or concerns go unanswered, the less trust they will have in your business. Providing them with a response quickly and politely is the best way to foster a good ongoing relationship with your target audience.

Did you know that customers who have a positive experience with a brand are much more likely to share your business with family and friends?

Alternatively, customers who have a negative experience with a brand are much more inclined to leave negative feedback on public platforms.

Which scenario would you prefer?

Organise an email audit

This is another one of my services that business adore - because a simple tidy up can make all the difference when it comes to managing your emails. This might look like:

-Unsubscribing from unwanted emails

-Organising folders

-Setting up out of office messages/auto replies

-Working with a VA to template your customer FAQs

Block out time for emails

Try scheduling a certain amount of time in your day solely for the purpose of getting on top of your communication. For some business, you may find that an hour in the morning is ideal - to get on top of any urgent or order amendments prior to dispatching. For others, they may dedicate an hour in a quiet area of the day for their correspondence. Whatever you decide, sticking to this timeframe and focusing solely on emails is a great way to clean out your inbox.

Use an auto-message

This is handy for Instagram DMs or Facebook messages, where correspondence can easily become lost. By referring your customers back to your key method of communication (ideally your business emails) you'll find things easier to manage.
